What we collect
When you send an enquiry through the contact form or by email, we collect the information you provide:
- your name, company and work email address
- the service you are interested in
- the project details you include in your message
Please do not include sensitive personal information or confidential process data in an initial enquiry. We can put a confidentiality agreement in place before detailed information is shared.
How we use it and our lawful basis
- To respond to your enquiry and prepare a proposal — necessary to take steps at your request before entering into a contract, or our legitimate interest in responding to business enquiries.
- To deliver and administer an engagement — necessary to perform our contract with you or your organisation.
- To keep business and accounting records — necessary to comply with our legal obligations.
We do not sell your information, use it for automated decision-making, or add you to marketing lists without your consent.
Who we share it with
Enquiries sent through the contact form are delivered to us by email. We share personal information only with service providers who process it on our behalf under contract, currently Hostinger, which provides our website hosting and business email. Where a provider processes data outside the UK, we rely on UK adequacy regulations or the UK International Data Transfer Agreement to protect it.
How long we keep it
- Enquiries that do not lead to an engagement: up to 24 months from our last contact.
- Client and engagement records: for the duration of the engagement, then 6 years from the end of the financial year they relate to, to meet our legal, tax and accounting obligations.
Your rights
Under UK data protection law you have the right to access your personal information, and to ask us to correct, erase or restrict it, to object to our processing, and to data portability where it applies. To exercise any of these rights, email contact@unioniq.co.uk. We will respond within one month.
If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk. We would appreciate the chance to resolve your concern first.
